Redesigning the Student Experience Through Process Reengineering, Transfer Pathway Innovation, and Coordinated Communications

The Challenge

Wichita State University Tech (WSU Tech) is a national leader in workforce development and career readiness. But, as the higher education landscape shifts and student expectations evolve, WSU Tech recognized that strong institutional values and dedicated teams were not enough to eliminate friction from the student experience.

While the college had invested in systems and talent, students still encountered uncertainty and delays, particularly during onboarding and transfer processes. Communications lacked alignment. Advising and enrollment workflows were clear internally, but felt disjointed to students. WSU Tech saw an opportunity not just to optimize operations, but to transform how students navigated critical decision points across recruitment, onboarding, enrollment, and transfer.

To meet this moment, WSU Tech partnered with Swim to analyze the full student journey, uncover operational breakdowns, and co-design a future-state experience that centered student empowerment, responsiveness, and strategic growth.

The Environmental Analysis

WSU Tech began this work with a comprehensive review of student engagement points, particularly onboarding, transfer planning, and communication sequencing. Swim used this analysis to surface institutional blind spots and identify key opportunities for system alignment and conversion growth.

This engagement reflected Swim’s belief that lasting transformation is grounded in both empathy and evidence. To redesign the student experience, we needed to see it clearly from all angles: student-facing communication, behind-the-scenes workflows, technological constraints, and cross-departmental handoffs.

Key elements of the work following the environmental analysis included:

Enrollment Funnel Definition and KPI Alignment

Swim guided stakeholders through the development of a unified enrollment funnel, clearly defining conversion points from inquiry through completion. Each stage was mapped with assigned ownership, performance indicators, and systems of record. This foundational work clarified accountability and illuminated where conversion stalled, enabling targeted interventions and technology alignment.

Onboarding Process Reengineering

Through cross-functional interviews and workflow mapping, Swim identified opportunities to redesign how credit-seeking students, including dual enrollment completers, move from application to first-day attendance. The result was a new process map that integrated touchpoints, milestones, and communications across departments to drive action, reduce dropout risk, and streamline student progress.

Student Surveys and Focus Groups

Through targeted surveys and facilitated focus groups, Swim gathered student perspectives on clarity, trust, responsiveness, and emotional readiness at key decision points. This work uncovered the core reasons why students stalled, disengaged, or sought help outside formal channels. Insights from these sessions directly informed journey mapping and communication sequencing, ensuring future-state design reflected real student needs rather than assumptions.

Transfer Pathway Discovery and Mapping

Recognizing WSU Tech’s strategic priority to become the premier transfer partner to Wichita State University, Swim led the creation of three transfer-focused journey maps.

These covered:

1. Students in 2+2 programs
2. Students not in the Shocker Pathway
3. Certificate earners exploring upward mobility

Each map included student and staff actions, technology integration, and external stakeholder alignment to ensure students experienced transfer not as a transaction, but as a well-supported continuation of their academic journey.

Strategic Solutions

Insights from the analysis phase fueled the co-design of scalable, student-centered communications and process systems:

1. Personalized Communications Plan

Swim developed four comprehensive communication strategies that mirrored the mapped student journeys. Each plan included:

Automated workflows based on behavioral triggers
Timing aligned with student needs rather than institutional rhythms
Personalized, action-driven content across email, text, phone, and print
Integrated marketing assets to support outreach

All communications were created in WSU Tech’s unified brand tone and supported by staff training to promote internal consistency and long-term sustainability.

2. Cross-Departmental Alignment

The future-state design brought together advising, enrollment, marketing, and academic leadership. Through stakeholder sessions, Swim facilitated dialogue around shared goals and reinforced student-centered design as the organizing principle of institutional coordination.

Implementation

Throughout the engagement, Swim served as both strategic consultant and implementation partner, ensuring findings were not only documented, but acted upon.

  • Infographic Journey Maps: All redesigned journeys were delivered as clear, visual infographics for easy adoption by staff.
    These became operational tools, not just theoretical frameworks.
  • Staff Training and Knowledge Transfer: Swim trained key staff on executing communication workflows, logging outreach, and adjusting based on real-time student behavior. Follow-up sessions supported sustainability and capacity-
    building.
  • Leadership Engagement and Buy-In: Swim held milestone check-ins and final reviews with senior leadership to embed accountability and maintain momentum beyond the life of the contract.

Results

While full lifecycle metrics will unfold over the next enrollment cycle, WSU Tech has already seen early institutional wins:

  • Centralized enrollment funnel with defined KPIs and ownership
  • Transfer pathway process maps integrated across departments
  • Clear staff alignment on communication tone, timing, and tracking
  • Reduction in student confusion and escalations during onboarding
  • Strengthened cross-institutional collaboration with Wichita State University

These changes build toward the ultimate goal: a student experience that supports progression from first inquiry to final credential and removes the barriers that disproportionately impact historically underserved learners.
